Employee Card

Intended for: Manager | Application: Web Application


The Employee Card is the central place for all information about an employee. You can access it by clicking on an employee's name in the Calendar or from the Business → People section.

In the People section you will find a complete list of all employees — current, past, and hidden.


Overview

On the main tab you will find:

  • Information about user activation (when the invitation was sent, whether the account is active)

  • Blue windows with an overview of Attendance, Fund, and Overtime for the selected month — with a link to the Detailed Report

  • Overview of contract, position, contact, and Terminal PIN code


Data

This tab contains the employee's personal data: name, address, date of birth, contact, and employee ID.

Data synchronized from an external HR system cannot be edited directly in Dayswaps.

In the HR Data section you have your own space for internal notes. New fields can be added via Business → HR Data → New Field.


Contracts

This tab displays the history of contracts (past, current, and future), vacation fund, positions, and assigned locations.

Available shift types:

  • Single-shift (40 h/week)

  • Two-shift (38.75 h/week)

  • Three-shift (37.5 h/week)

Adding a new agreement or contract does not end the previous one — set the end date of the previous contract manually.


Report

On the Report tab you will find a detailed overview of the employee for a selected period (settlement period, month, year, or contract). Clicking through takes you to Office → Attendance → Detailed Report.


Log

The Log tab displays the Audit Log of activities for a specific employee — it can be filtered by action or date.


Settings

On the Settings tab you can adjust:

  • Calendar order — custom sorting of the employee

  • Work cycle — assignment to a shift cycle

  • Access level — Manager / Employee / custom access levels

  • Hidden employee — an employee with no scheduled shifts in the calendar but with access to the system (e.g. payroll accountant, HR staff)

  • Experience — level of work experience in a given position; the system will alert you when scheduling new hires

  • Delete employee — immediately or on a specified date
