Setting Up Shift Cycles

Intended for: Manager | Application: Web Application

A shift cycle is a chain of recurring shifts and days off that Dayswaps automatically applies to assigned employees. Cycles can be combined with other planning methods — not all employees need to be assigned to a cycle.

Important rules

  • An employee can only ever have one cycle assigned.

  • An employee assigned to a cycle does not receive shifts via automatic planning — their schedule is managed by the cycle.

Creating a new cycle

Go to Business → Cycles → + New cycle and choose one of two options:

A) Custom parameters

  1. Enter the cycle name.

  2. Set the cycle length (number of days).

  3. Choose the cycle start date.

  4. Schedule shifts for each day of the cycle (including days off).

  5. Add groups of employees that belong to the cycle.

  6. Assign employees to the groups.

B) Template

Select a pre-built template (e.g. carousel, short–long) and adjust it as needed.

Assigning employees to a cycle

Employees can be assigned in two ways:

  • From the cycle card — open the cycle in Business → Cycles and add employees directly there.

  • From the employee card — open the employee's profile → Settings tab → Work cycle.

Reassigning an employee to a different cycle

Before assigning to a new cycle, you must first remove the employee from their current cycle. Only then assign them to the new one. Shifts already scheduled in the calendar are not affected by this process — the system will not delete them.
