How to Navigate Dayswaps

Intended for: Manager | Application: Web application


Use this article when you log in to Dayswaps for the first time and need to get oriented on the main screen — the Calendar — and its controls.


Default Screen: Calendar

The Calendar is your default screen, shown every time you log in to the system. The calendar screen is divided into several parts:

  • Header and control panel at the top — controls described in the sections below.

  • Side menu on the left — see the separate articles for each area.

  • Main calendar work area in the middle — see the article What You See in the Calendar?


Header and Top of the Calendar

1. Switching the Time Period

Within a month, the system visually distinguishes past and future shifts — shifts that have already taken place are marked with a hatched fill on those days.

  • Day, Week, Month — at the very top left you'll find buttons to switch the calendar's displayed time period.

  • Month name (e.g. July 2024) — clicking the arrow next to the displayed month opens a month picker.

  • Today — returns the calendar to the current date; the arrows next to Today move the displayed period forward or back (e.g. in month view, the right arrow moves you one month forward).

2. Preparing the Monthly Schedule

Above the calendar on the top left, you'll find buttons for preparing the monthly schedule.

  • Plan — shows options for planning in cycles, auto-scheduling, etc.

  • Add — shows the basic menu of options you'll typically add (shift, absence, unavailability, new position, new location, etc.).

  • Offers — used when you want to offer shifts to employees, i.e. let them read the offer in the system themselves and choose whether they can/want to take the shift.

  • Back — undoes changes or a misclick, similar to the back button in your browser's top bar.


3. More Calendar Features

At the top right you'll find more useful features.

  • Search — searches the calendar for an employee, a specific shift, etc.; the system highlights fields matching the keyword or time entered.

  • Filter — lets you hide employees, shifts, or positions in the calendar for better clarity.

  • Labor Code Warnings — if you have the Labor Code module activated, the system flags any discrepancies here (e.g. a night shift for a minor, breaks during a shift, shift length, long time off, etc.).

  • Export — prepares the calendar and data for printing; you can choose what data to include in the printed version.

  • View — lets you hide the top rows used for shift planning (Shift patterns, Unassigned or Offered shifts), turn on the Capacity and Statistics display in the Calendar, and set what information is shown in the shift/absence tile.

Export is available on the second pricing plan and above.


4. Publishing Changes in the Calendar

If you make changes to shift planning in the calendar, the system asks whether you want to publish the changes. Employees then receive information about the new schedule or schedule change.

  1. Make your changes in the calendar (e.g. schedule shifts, vacation, or absence).

  2. The Publish button appears in the top right area.

  3. Click Publish to send the shift schedule or any other changes to employees.
