How to Combine the Filter and Sorting Employees by Location

When you sort the calendar by location, some shifts appear in a lighter colour and employees with several locations show up more than once. In this article you'll learn what this means and how to combine sorting with a filter so you see just one location.


How sorting by location works

  • Sorting only arranges employees into blocks by the locations assigned on their Employee Card — it doesn't hide anyone.

  • An employee with several locations appears in the block of each of their locations, so more than once in the calendar.

  • Each employee row shows all of their shifts, regardless of the location the shift is planned for.

What fully and lightly coloured shifts mean

A shift's colour comes from combining two pieces of information — the location set on the shift and the location of the block the employee row is currently shown in.

  • Fully coloured shift — the shift's location matches the location of the block you're viewing.

  • Lightly coloured shift — the shift is planned, but belongs to another location of the employee.

Example: Jana is assigned to locations A and B. In the location A block, her shifts at location A are fully coloured and her shifts at location B are light. In the location B block, it's the other way round.

In this view, a light colour does not mean the shift is unpublished. It only means the shift belongs to a different location than the one you're currently viewing.


How to show just one location

  1. In the calendar, top left, open the selection next to the Sorted by label.

  2. Choose sorting by location.

  3. Top right above the calendar, click Filter.

  4. In the Locations section, select the location you want to see.

  5. Check the number in the orange circle on the Filter button — it shows the filter is active.

Filters can be combined freely — for example, one location with a specific position. See all options in How to Filter the Calendar.


What if shifts show a different location than you expect

  • Check which location is set on the shift itself (open the shift detail).

  • Check which locations the employee has assigned on their Employee Card.
