Recording Overtime

Dayswaps enables you to record overtime, distinguish between ordered and agreed overtime, and choose whether the hours are transferred or paid out. This article describes the recording process and the legal rules that must be followed.


Legal rules for overtime

Before recording overtime, keep in mind these restrictions from the Labour Code:

  • Overtime cannot be planned in advance — it is recorded retrospectively or at the moment it occurs.

  • Overtime must not be performed by pregnant employees and minors.

  • Parents with a child under 1 year of age cannot have ordered overtime.

  • Overtime hours must be used or paid out within 3 months — Dayswaps will notify you 45 days before the deadline expires.

Ordered overtime:

  • maximum average of 8 hours per week over the balancing period (BP)

  • maximum of 150 hours per year

Agreed overtime:

  • maximum of 8 hours per week over the BP

  • in combination with ordered overtime, maximum of 416 hours per year

Overtime hours must be used within 3 months of being accrued. Dayswaps will notify you of an approaching expiry 45 days in advance.


How to record overtime

  1. In the calendar, click on the relevant shift.

  2. In the left sidebar menu, check Overtime.

  3. Choose the scope: entire shift or part of shift.

  4. Select the compensation method:

  • Pay out — the shift is marked with a star and the hours are deducted from the overtime bank.

  • Transfer — the hours are not deducted from the bank; the employee takes them as compensatory leave.

  1. Choose the overtime type: Agreed or Ordered.

  2. Save the changes.

An overview of all recorded overtime can be found in the Office → Reports → Overtime section.
